1. PAN Card
All the proposed society’s members will have to send in their PAN cards with the application.
2. Proof of residence
All members of society will also have to show proof of where they live. These things serve as a proof of where you live:
- Bank Statement
- Aadhaar Card
- Utility Bill
- Driving License
- Passport
3. A Memorandum of Association
One must include the following sections and information in a memorandum of association:
- What the society is supposed to do? Why is it being set up?
- Information about the people who make up the society.
- It will list the address of the society’s registered office.
Articles of Associations: Articles of the association will also need to be written, and they will include the following:
- Rules and laws that govern how society works and how the day goes.
- There will be rules about who can join the group.
- They should give details about the society’s meetings and how often they happen.
- Details about auditors
If two people in a society have a disagreement, this is a way to settle it.
There will also be talk about how society falls apart.
Once the rules are made, certain people can change them. Still, the Secretary, Chairman, President, and Vice President of the society will have to sign the new rules.
4. Covering Letter
At the beginning of the application, there will be a cover letter. It says what the society is trying to do or why it is being formed. Then, all the people who helped start the NGO society will sign it.
5. Address proofs
A copy of the address and proof of where the society’s registered office will be should be attached. This will also involve the NOC from the landlord.
6. Governing Body
All the people on the governing body should be given a list where they can sign their names.
7. Declaration Form
The president of the proposed society should say that he is willing and able to hold the position.
One must send two copies of all the above documents to the Registrar of Societies. They will sign the first copy as a way of acknowledging it and send it back. Further, they will keep the second copy for approval. Finally, the Registrar will give the registration number and a certificate of incorporation.
One must file the signed rules and laws and the memorandum. This involves a certain fee with the society or state Registrar. Let’s say that the application and the registration of the Registrar Society are both done. So, they will make sure that the group is registered.
